Waitlist Management: Turn Cancellations Into Revenue

Every cancellation is lost revenue, unless you can fill the slot. The DialCloud waitlist feature automatically captures callers who wanted a time slot that was fully booked. When the AI finds no availability for the caller's preferred time, it offers to add them to the waitlist with their preferred timeframe. If a cancellation later frees up a matching slot, the system sends an SMS to the waitlisted customer offering the opening.
The waitlist works best when the AI captures specific preferences. 'Any Tuesday morning' is more useful than 'sometime next week' because the system can match it precisely against freed slots. The AI is trained to ask clarifying questions: 'Would mornings or afternoons work better?' and 'Is there a specific day of the week you prefer?' These details are stored as preferred dates in the waitlist entry and used for matching when slots open up.
To maximize fill rates, the SMS is sent immediately when the cancellation happens, and the customer has a limited window to claim the slot (typically 2 hours). If they do not respond, the slot is offered to the next person on the waitlist. This first-come-first-served approach with a time limit ensures that freed slots do not sit empty. Businesses using the waitlist feature report filling 60-70% of cancelled slots, turning what would have been dead time into productive appointments.
