Recurring Appointments: Setting Up Maintenance Schedules

Recurring appointments are the backbone of maintenance-based businesses. A pool cleaning company services the same homes every week. An HVAC company does seasonal tune-ups every six months. A lawn care crew mows the same properties every two weeks. Setting these up manually, booking the same appointment 26 or 52 times, is tedious and error-prone. DialCloud's recurring appointment feature automates this: define the pattern once, and the system generates all future occurrences automatically.
To create a recurring appointment, book the initial appointment normally (through the AI or manually in the dashboard), then click 'Make Recurring' on the appointment detail page. Choose the recurrence pattern: daily, weekly, biweekly, or monthly. Set the end condition: a specific end date, a number of occurrences, or no end date (ongoing until cancelled). The system generates all future occurrences and blocks those time slots in your availability calendar, so the AI will not double-book them.
Each generated occurrence is a separate appointment that can be individually rescheduled or cancelled without affecting the series. If a customer needs to skip one week, cancel that single occurrence. If they want to move to a different day permanently, edit the recurrence rule. SMS reminders go out for each occurrence individually, so the customer is reminded before every visit, not just the first one. The recurring appointment feature is available on the Business plan.
