Plumbing Companies: How to Handle Emergency Calls with AI

A real emergency vs. an urgent-feeling request

Plumbing emergencies are time-sensitive and high-value. A burst pipe, a sewage backup, or a gas leak cannot wait until Monday morning. The AI agent needs to distinguish between true emergencies, such as active water damage, no water at all, or a gas smell, and routine requests that feel urgent to the caller but can safely wait for a scheduled slot. The distinction matters because emergency service typically carries a premium rate and dispatches a technician immediately, while routine requests should be booked into the regular schedule.

How urgency detection works

DialCloud's urgency detection is built into the agent prompt. The AI evaluates the caller's description against a few specific questions:

  • Is there active damage happening right now?
  • Is there a safety risk, such as gas, electrical, or flooding?
  • Is a critical system completely non-functional, such as no water or no heat in winter?

If the answer is yes, the call is flagged as an emergency and the AI either books an emergency slot or transfers to the on-call technician.

If the caller says 'I need a plumber ASAP' but describes a dripping faucet, the AI books the earliest available regular slot instead.

Configuring it for your plumbing business

To set this up, create your emergency service type in the scheduling settings with the appropriate duration and pricing, then review the urgency detection rules in your agent's prompt configuration. The default rules work well for most plumbing companies, but you may want to customize them. For example, some plumbers treat 'no hot water' as an emergency in winter but a routine call in summer. These nuances can be captured in the agent's FAQ entries.
